File Management

Manage, organize, and share every document across your projects. KonstructIQ auto-saves files from your estimates, bills, and invoices, and lets you create your own folders too.


Overview

File Management is your central library for every document in KonstructIQ. As you work, the platform automatically files documents where they belong — when you create an estimate, the attached files are saved to that project's Estimates folder, and the same happens for bills, invoices, purchase orders, change orders, daily logs, and to-dos. You can also create your own folders and upload your own files that aren't tied to a project.

There are two ways to get to your files:

  • From the navigation bar — Click Files in the top navigation to open your global file library.

  • From a project — Open any project and select its Files tab to jump straight to that project's documents.


1. The Global Files Library

Click Files in the top navigation bar to open the global library. This is the top level of your file system and shows everything in your account.

1.1 The Files Table

Your files and folders are listed in a table with the following columns:

  • Name — The name of the file or folder.

  • Type — Whether the row is a Folder or a file format (PDF, PNG, etc.).

  • Files — For folders, the number of files inside; for files, the file size.

  • Date — When the file or folder was created or last updated.

  • By — Who created it. System means KonstructIQ created it automatically; a teammate's name means a person added it.

  • Linked To — The record a file is attached to (for example, Estimate), if any.

A Search bar at the top lets you find files and folders by name, and each row has a three-dot menu (⋯) for quick actions.

1.2 System Folders

When your account is set up, KonstructIQ automatically creates two top-level System folders:

  • Contacts — Documents associated with your contacts.

  • Projects — A folder that contains one sub-folder for every project in your account. This is where all of your automatically saved project documents live.

These folders are maintained by the system, so you'll always have a consistent place for your documents.

1.3 Creating a Folder

Click New Folder in the top-right corner to create your own folder at the current level. In the dialog that opens:

  • Folder name — Enter a name for the folder.

  • Click Create to add it, or Cancel to close without saving.

Folders you create yourself are a great way to store documents that aren't tied to a specific project — think insurance certificates, licenses, templates, or company-wide reference material.


2. Project Files

Inside the Projects folder, each of your projects appears as its own folder. This view lists every project with these columns:

  • Project — The project name.

  • Client — The associated client, if one is set.

  • Files — The number of files stored for that project.

  • Status — The project's current status (for example, Active).

Click any project to open its file area. You can reach the exact same place by opening a project and clicking its Files tab.

2.1 Automatic Object Folders

Every project automatically contains a set of System folders, one for each type of record in KonstructIQ:

  • Estimates

  • Bills

  • Invoices

  • Purchase Orders

  • Change Orders

  • Daily Logs

  • Todos

Whenever you attach a file to one of these records — for example, dropping a plan set or a photo onto an estimate — KonstructIQ automatically saves that file into the matching folder. You don't have to file anything manually; creating the estimate, bill, or invoice does it for you. The folder's file count updates automatically as documents are added.

2.2 Uploading Files to a Project

To add your own document to a project, open the project's file area and click Upload in the top-right corner, then choose a file from your computer. Uploaded files appear alongside the automatically saved documents and can be organized, shared, and managed the same way.


3. Working With a File

Click any file to open its detail view. This screen gives you a preview of the document on the left and its full details and controls on the right.

3.1 File Details

The detail panel shows:

  • File type and size — For example, "PNG · 51.3 kB."

  • Uploaded — The date the file was added.

  • Uploaded By — Who added it (System for automatically saved files, or a teammate's name).

  • Linked To — A badge showing the record the file is attached to, such as ESTIMATE. This tells you at a glance where the document came from.

  • Tags — Add your own tags to a file to make it easier to find and group later. Type into the Add tag… field to apply one.

3.2 Sharing and Access Control

Every file has an Access Control setting that determines who can open it:

  • Private — Only your team members can access the file. This is the most restrictive option.

  • Restricted — Share the file with specific clients or subcontractors.

  • Anyone with the link — Anyone who has the share link can open the file. For security, these links expire automatically after three months.

Use the Copy Link button to grab a shareable link based on the current access setting. You can also use Download to save a copy to your computer, or Send to share the file directly from KonstructIQ.

3.3 File Actions Menu

From the file list, the three-dot menu (⋯) on any file row gives you quick actions without opening the file:

  • Rename — Change the file's name.

  • Download — Save the file to your computer.

  • Send — Share the file from within KonstructIQ.

  • Copy Link — Copy a shareable link to the file.


Quick Reference and Guide

Opening your file library: Click Files in the top navigation bar.

Opening a project's files: Files → Projects → click the project. (Or open the project and click its Files tab.)

Finding a specific document: Use the Search bar at the top of any Files view to search by name.

Creating your own folder: Files → New Folder → enter a folder name → Create.

Uploading a file to a project: Open the project's file area → Upload → choose a file from your computer.

Seeing where a file came from: Check the Linked To column (or the file's detail view) — it shows the record, such as Estimate or Invoice, that the file is attached to.

Sharing a file with a client: Open the file → under Access Control choose Restricted or Anyone with the linkCopy Link (or use Send).

Tagging a file: Open the file → in the Tags section, type into Add tag….

Renaming a file: In any file list, click the three-dot menu (⋯) on the file's row → Rename.
