Using Custom Cost Codes

Once you upload your custom cost codes, all new estimates will automatically use your cost code format. This ensures consistency across all your financial documents.

How to Upload Custom Cost Codes

Follow these steps to transition from the default KonstructIQ cost codes to your own custom CSV structure.

  1. Navigate to Cost Code Settings Go to Settings > Cost Codes. Under the Cost Code Format section, change the selection from KonstructIQ (Default) to Custom.

  2. Initiate the CSV Upload Click the Upload CSV button. A dialog box will appear allowing you to either click to browse your files or drag and drop your CSV file directly into the window.

  3. Provide AI Instructions (Optional) Once the file is selected, you can optionally add specific details in the Instructions field. This helps the AI accurately extract and map columns for category codes, category names, item codes, and item names.

  4. Analyze the File Click the Analyze button. The system will process the document and attempt to detect the relevant data columns automatically.

  5. Review and Import Once processing is complete, review the list of detected cost codes. The system will display the AI confidence level and the number of valid items found. Click Import [Number] Items to finalize the process.

  6. Verify the New Structure Your custom codes will now appear in the Cost Codes settings page and will be used to structure all future estimates, whether created manually or generated via AI.

  7. Any new estimates you create using AI or manually should use the new cost code structure


Troubleshooting

  • File Not Recognizing Columns: If the AI fails to detect your columns, ensure your CSV headers clearly label "Category," "Code," and "Name." You can also retry the upload and use the Instructions field to tell the AI exactly which columns to use.

  • Import Button Greyed Out: This usually occurs if no valid items were found during the analysis phase. Check that your CSV is not password-protected and contains data in a standard table format.

FAQs

  • Does this change historical estimates or only new ones? Uploading custom cost codes only affects new estimates created after the import. Existing estimates and financial documents will retain the format they were created with to maintain historical record integrity.

  • Can I switch back to the KonstructIQ default codes later? Yes. You can toggle back to the default format in Settings at any time, though it is recommended to stick to one format per project to avoid accounting confusion.

  • Is there a limit to how many codes I can import? While there is no strict limit on the number of rows, the file size must be within the maximum MB limit specified in the upload dialog.
