What are Timecards?
Timecards in KonstructIQ let you track the hours your team works, tie that time to specific jobs and projects, and roll it up into labor hours and cost. You can capture time in two ways: staff can clock in and out in real time, or you can add a timecard manually after the fact. Once time is recorded, you can review it, approve it, and export it for payroll or job costing.
Finding Timecards
From the top navigation, open the People menu and select Timecards. The Timecards page is where all recorded time lives, and where you'll find the Clock In and Add Timecard buttons in the top right.
You can also clock in quickly using the Clock In button on your Home dashboard.
The two views: By Date and By Staff
The Timecards page has two tabs:
By Date – lists individual timecard entries. Each row shows the date, job type, project, budget code, start & end time, duration, status, and whether it has been approved.
By Staff – rolls everything up per team member. You'll see a summary of Regular Hours, Overtime, Double Time, Paid Breaks, Unpaid Breaks, and Total Hours, each with the associated labor cost, so you can see what your crew's time is costing across a period.
In either view, use the date range, Staff, and Project filters at the top to narrow down what you're looking at.
Clocking in and out
To track time live, click Clock In. The Time Clock window opens and shows the current time, today's date, and your current status (for example, "You are clocked out").
Optionally choose a Job Type, Project, and Line Item so the time is attributed to the right work.
Click Clock In to start the shift.
When you're finished, return to the Time Clock and click Clock Out.
KonstructIQ records the start and end times automatically and creates a timecard for that shift.
Adding a timecard manually
If someone forgot to clock in, or you're entering time after the fact, click Add Timecard. The timecard form is organized into a few sections.
Basic Info
Staff Member (required) – who the time belongs to.
Date (required) – the day the work was done.
Shift
Clock In Time and Clock Out Time – the start and end of the shift.
Duration (required) – total time worked.
Status – defaults to Unapproved; you can mark it approved here or from the approval workflow.
Breaks
Click Add Break to log a break within the shift. For each break you can set a Start and End, a Duration (required), a Type (such as Lunch), and whether the break is Paid. Add as many breaks as the shift needs, or remove one with the trash icon.
Job, Project & billing
Job Type, Project, and Line Item – attribute the hours to specific work for accurate job costing.
Billable – checked by default; uncheck it if the time should not be billed to the client.
Shift Notes and injury reporting
Shift Notes – a formatted text field for any details about the shift.
Report injury – check this box to flag that an injury occurred during the shift.
Multiple shifts on one timecard
If a staff member worked more than one shift in a day, use Add Shift at the top of the form to add another shift to the same timecard. Use Delete Shift to remove one. When you're done, click Save.
Hours breakdown
At the top of every timecard, KonstructIQ shows a running breakdown of Reg Hours, Overtime, Double Time, Breaks, and Total Hours based on the shifts and breaks you've entered.
Approving timecards
New timecards start as Unapproved. To approve one, open the timecard and click Approve (or set the Status field). The approval status appears in the Approved column on the By Date view, so you can quickly see which entries are ready for payroll.
Exporting timecards
Use the Actions menu on the Timecards page to:
Export Excel – download the current view as an Excel file.
Export CSV – download the current view as a CSV file.
Show/Hide Columns – choose which columns appear in the table.
Exports respect your current filters, so set the date range, staff, and project filters first to get exactly the data you need for payroll or job costing.
Tip: set up Job Types first
Job Types (found under People > Job Types) let you categorize the kind of work being performed. Setting these up before tracking time makes it easier to attribute hours accurately and get meaningful labor-cost reporting in the By Staff view.
