Viewing All Invoices & Bills from the Financials Menu

Access and manage all your invoices and bills in one place using the Financials dropdown in the navigation bar.


How to Access Invoices & Bills

Step 1: From any page in KonstructIQ, click on Financials in the top navigation bar. A dropdown menu will appear with four options: Invoices, Bills, Payments, and Unit.

Step 2: Click Invoices to view all invoices, or click Bills to view all bills across your projects.

You will land on a dedicated page with a full list view and a left-hand sidebar for quick switching between Invoices, Bills, and Payments.


The Invoices Page

The Invoices page (Financials > Invoices) displays every invoice across all of your projects in a single table. Each row shows:

  • Project — the project the invoice belongs to

  • Invoice Number — the unique identifier (e.g., INV-8)

  • Title — a description of the invoice (if applicable)

  • Due Date — when payment is due

  • Status — whether the invoice is Open or Closed

  • Payment Status — whether the invoice is Paid or Unpaid

  • Amount — the invoice total

You can sort any column by clicking the sort icon next to the column header. Use the Download button in the top-right corner to export your invoice list.


The Bills Page

The Bills page (Financials > Bills) displays every bill from subcontractors and vendors across all your projects. Each row shows:

  • Project — the project the bill is associated with

  • Bill Number — the unique identifier (e.g., B-1)

  • Sub/Vendor — the subcontractor or vendor who issued the bill

  • Title — a description of the bill (if applicable)

  • Due Date — when the bill is due

  • Status — whether the bill is Open or Closed

  • Payment Status — whether the bill is Paid or Unpaid

  • Amount — the bill total

You can sort any column and use the Download button to export your bills list.


Navigating Between Invoices, Bills & Payments

Once you're in the Financials section, use the left sidebar to quickly switch between:

  • Invoices — money owed to you by your clients

  • Bills — money you owe to subcontractors and vendors

  • Payments — a record of payments made and received


Troubleshooting FAQs

Q: I clicked on Financials but I don't see the Invoices or Bills options in the dropdown. A: Make sure you are hovering over (not just clicking) the Financials menu item — the dropdown appears on hover. If the options are still missing, try refreshing the page. If the issue persists, contact support.

Q: My Invoices or Bills page is loading but appears blank (no records showing). A: This typically means no invoices or bills have been created across your projects yet. Invoices and bills must first be created within individual projects before they appear here. Navigate to a project, create an invoice or bill, and it will then show up in the centralized view.

Q: I can see some invoices/bills but not all of them — some from older projects are missing. A: The list displays all records tied to active and archived projects associated with your account. If a specific record is missing, verify it was saved (not left as a draft) within the project. You can also try sorting the columns or checking if a filter has been applied.

Q: The amounts showing on the Invoices page show $0 even though I entered a value. A: A $0 amount typically means the invoice was created but no line items or payment schedule amounts were finalized. Open the invoice within its project to confirm that all line items and amounts are saved correctly.

Q: I clicked Download but nothing happened or the file is empty. A: Ensure your browser is not blocking pop-ups or downloads from KonstructIQ. If the downloaded file is empty, this may indicate there are no records to export for the current view. Try refreshing the page and attempting the download again.

Q: The Payment Status column shows "Unpaid" for an invoice I know has been paid. A: Payment status is updated when a payment is recorded in the system. If a payment was made outside of KonstructIQ (e.g., via check or direct bank transfer), you'll need to manually mark it as paid within the invoice in the project. Navigate to the project, open the invoice, and update the payment status.

Q: I don't see the Financials menu in the navigation bar at all. A: The Financials menu is available to all account owners and admin users. If you are a team member with restricted access, you may not have permission to view this section. Contact your account administrator to request access.
