How to Create and Send a Purchase Order

  1. Navigate to the Purchase Orders section within your project and click the Create button.

  2. Select or create a new sub/vendor by using the search dropdown or clicking + New.

  3. Add items to the purchase order. You can enter specific descriptions, quantities, and unit costs for the labor or materials required.

  4. Once the details are finalized, click Preview & Send at the top right of the screen.

  5. Review the document preview for accuracy, then click Send.

  6. The subcontractor will receive an email notification. They can click Review and Approve to view the document.

  7. The subcontractor can then sign the document digitally by clicking Approve and dragging their signature onto the canvas.

  8. Once signed, your PO status in the dashboard will automatically update to Approved.

  9. When the work is complete, you can generate a bill without re-entering details by clicking Options > Create Bill From PO.


Troubleshooting

  • Missing "Create" Button: If you cannot see the option to create a PO, ensure your user profile has the necessary financial permissions enabled for the specific project.

  • Subcontractor Did Not Receive Email: Verify that the vendor's email address is correct in the People section. Ask the vendor to check their spam or "Promotions" folder for the notification from KonstructIQ.

FAQs

  • Can I edit a PO after it has been sent? You can edit a PO while it is in "Sent" status, but if the subcontractor has already approved it, you will need to void or revise it to ensure both parties are looking at the same version.

  • Does creating a PO update my project budget? Yes, KonstructIQ tracks purchase orders against your project financials to provide an accurate view of committed costs versus your initial estimate.

  • Can I attach files to the Purchase Order? Yes, you can.
