Overview
KonstructIQ tracks whether a client has opened the email for a sent Estimate, Purchase Order, Change Order, or Invoice — and whether they went on to open the document itself. Look for the small eye icon next to the Sent status badge on any of these four document types; hovering over it shows the exact date and time.
This is separate from client approval. Approving a document (Sign and Approve) in the Client Portal is a stronger, explicit confirmation than an opened email — see Client Portal.
Where to Find the Opened and Viewed Status
Open the document list: Home → Projects → Sent tab for estimates, Financials → Invoices or Purchase Orders, or Projects → Change Orders.
Find a row with a Sent status badge.
Hover over the eye icon next to the badge to see the timestamp.
Tip: the icon only appears once a document has actually been emailed. Documents still in Draft haven't been sent, so there's nothing to track yet, and once a document is Approved the badge changes and the icon no longer shows — approval is the confirmation at that point.
What Opened and Viewed Mean
Two separate events are tracked. Opened at is recorded when the client's email client loads the message — the standard email open-tracking method, using a small tracking image inside the email. Viewed at is recorded separately, when the client actually opens the document itself — the estimate, purchase order, change order, or invoice page — rather than just the email.
If a client hasn't opened the email at all, the eye icon appears crossed out, and hovering over it shows Client has not opened email instead of a timestamp.
Note: email open tracking has a known limitation across the industry — some email providers and security scanners automatically load images and preview links as soon as a message arrives, which can register an Opened event before anyone has actually read it. Treat Opened as an early signal, not proof that a person reviewed the document.
Purchase Orders and Change Orders
The same Opened at and Viewed at tracking appears on sent Purchase Orders and Change Orders, in the same place — next to the Sent status badge on the Purchase Orders and Change Orders lists under Financials and Projects.
How This Differs from Client Approval
Opened and Viewed tell you the client's email client, or the client, has interacted with the document — but they can't confirm the client actually reviewed the contents. Approval can. When a client clicks Sign and Approve on an estimate or change order, or pays an invoice, in the Client Portal, that action is an explicit, deliberate confirmation — not just a loaded tracking pixel.
Use Opened and Viewed as an early signal that a document reached the client and they've started looking at it. Use approval, from Client Portal, as the reliable confirmation they reviewed it.
Troubleshooting & FAQs
An invoice shows as Opened right after I sent it — is that normal? Yes. Some email providers scan incoming messages and automatically load images and links before anyone reads them, which can trigger an Opened event within seconds of sending. This doesn't mean the client has actually seen the document.
Does the Opened/Viewed icon show on Draft documents? No — the icon only appears once a document's status changes to Sent.
What happens to the icon after a client approves the document? The status badge changes to Approved and the eye icon no longer appears — approval is the confirmation at that point.
Is this the same as the Client Portal? No. Opened and Viewed are automatic tracking on the document itself. The Client Portal is where a client actually reviews and approves a document — see Client Portal.
Can I see this on invoices that are still Open (unpaid) but haven't been sent? No — the eye icon only appears next to a Sent status badge, not on Open or Draft invoices.
