Catalogs: Create and Switch Between Multiple Pricing Catalogs

My Catalog is now Catalogs. Learn how to build multiple pricing catalogs, add or import items, set a default, and choose which catalog(s) an estimate should draw from when creating a scope with AI.

What changed: from "My Catalog" to "Catalogs"

Your single My Catalog has been expanded into Catalogs. Instead of maintaining one master list of cost items and labor rates, you can now create and save as many catalogs as you need and switch between them depending on the job. For example, you might keep a 2026 Standard Pricing catalog for everyday work, a Premium Remodel Pricing catalog for high-end clients, and a separate Union Labor Rates catalog for prevailing-wage jobs.

When you create an estimate with AI, you choose which catalog (or catalogs) the AI should pull pricing from, so each project is matched against the right numbers. Everything you could do in My Catalog — adding items manually, importing pricing sheets, and managing labor rates — still works; it now happens inside each individual catalog.


Accessing your Catalogs

There are a few ways to reach Catalogs depending on where you are in the application:

  1. From the left navigation: Click Catalogs in the side menu.

  2. From Settings: Go to Settings > Projects, scroll to the Labor Rates section, and click Manage Rates.

  3. During estimate creation: In the Estimate Preferences panel (Click on the gear icon), use the Labor Rates > Manage Rates option.

The main Catalogs page lists every catalog you have created, showing each catalog's name, the number of items it contains, and its description. Use the Search items across all catalogs bar at the top to look up an item across every catalog at once.


Creating a new catalog

  1. On the Catalogs page, click the Create button in the top right corner.

  2. In the Create Catalog window, fill in:

    • Name (required): A clear label for the catalog, e.g. "2026 Union Labor Rates".

    • Description (optional): A short note describing when to use this catalog.

    • Is Default: Toggle this on to make the catalog your default. The default catalog is pre-selected automatically whenever you start a new AI estimate. Marking a catalog as default will unmark the current default — you can only have one default at a time.

  3. Click Create. Your new catalog appears in the list, ready for items.


Managing your catalogs

From the Catalogs list, click the three-dot menu at the end of any catalog row to:

  • Edit: Update the catalog's name, description, or default status.

  • Delete: Permanently remove the catalog and its items.

Click a catalog's name to open it and manage the items inside.


Adding items to a catalog manually

To add individual items one at a time:

  1. Open the catalog and click the Create button in the top right corner.

  2. In the Create Item window, fill in the details:

    • Cost Type (required): Categorize the item (e.g. Labor, Materials).

    • Trade: Select the relevant trade for the item.

    • Name (required): Enter a clear name for the cost item.

    • Catalog (required): Confirm which catalog the item belongs to. This defaults to the catalog you are currently in, but you can reassign the item to a different catalog here.

    • Unit Cost: Set the base price.

    • Unit: Choose the measurement type (e.g. hour, sqft, lf, ea).

    • Taxable: Toggle on if the item is subject to tax.

    • Description: Provide additional context for the item.

    • Additional attributes: Add specific identifiers like SKUs if needed.

  3. Click Save.


Bulk importing items via CSV or PDF

To add a large volume of items to a catalog quickly, use the import tool:

  1. Open the catalog, click the Options button, and select Import.

  2. Drag and drop your file, or use Choose from Files / Add from Device. Imports support CSV and PDF pricing sheets up to 10 MB.

  3. Optional: In the Instructions field, add context to help the system parse your data correctly (for example, describing your column headers).

  4. Click Analyze.

  5. Review the AI Confidence Score and the list of valid items.

  6. Verify data: Click any line item to edit its details if the system flagged an issue or if information is missing.

  7. Once the data is accurate, click Import [Number] Items to finalize. The items are added to the catalog you imported into.


Managing items within a catalog

Inside a catalog, items are displayed with columns for Name, Cost Type, Project Class, Trade, Unit Cost, and Additional Attributes. Use these tools to keep the catalog organized:

  • Search: Use the search bar to find items by name within the open catalog.

  • Filter: Use the Cost Type dropdown to view a specific category.

  • Edit: Click any item to update its pricing or details.

  • Clear All: To empty the catalog, click Options > Clear All. This removes all items from that catalog only.


Choosing which catalog to use for a project

You select the catalog(s) for a project at the start of the AI estimate flow:

  1. Open the project and, under Estimate, click Create with AI.

  2. On the Select Method screen, use the Catalogs selector at the top to choose which catalog(s) the AI should use. Your default catalog is pre-selected automatically.

  3. You can add more than one catalog, or remove one using the × on its chip. Items from every selected catalog become available to the AI for matching during estimate creation.

  4. Choose your scope method — Upload Plans or Photos or Describe Your Project — and continue. The AI will match line items against the catalog(s) you selected.

This lets you point each project at the pricing that fits it — for instance, using a premium catalog for a high-end remodel while keeping your standard catalog for everyday jobs.

Troubleshooting

  • Missing data after import: If certain rows did not import, check the analysis screen for items flagged with issues. Make sure your source file has headers that match expected fields like Name, Cost, and Unit.

  • Analyze button grayed out: Ensure the file has finished uploading and is a valid format (CSV or PDF) under 10 MB.

FAQs

  • How many catalogs can I create? You can create and save as many catalogs as you need and switch between them per project.

  • What is the default catalog for? The default catalog is pre-selected automatically each time you start a new AI estimate, so your most-used pricing is ready by default. You can still change the selection for any individual project.

  • Can I use more than one catalog on a single project? Yes. The Catalogs selector on the Select Method screen lets you pick multiple catalogs; the AI matches items against all of them.

  • Does clearing or deleting a catalog affect existing estimates? No. Clearing or editing items typically only affects new estimates or items added after the change. Existing project data is preserved.

  • What should I do if the AI Confidence Score is low? Add more context in the Instructions field during import — describing your column headers or data structure helps the AI parse the file more accurately.

  • Can I import labor rates and material costs in the same file? Yes, as long as you assign the correct Cost Type to each line item during verification, or clearly define a "Cost Type" column in your CSV.
