KonstructIQ Knowledge Base: Project Scheduling & To-Dos

KonstructIQ's Schedule handles phases and tasks on a timeline with Calendar, Gantt, List, and Resource views, an AI Schedule Assistant, printing/export, and company-wide defaults. To-Dos manages tasks and punch list items tied to schedule items.


Schedule

The Schedule is found in the left-hand project navigation under each project. It allows you to plan all phases and tasks of a project across a timeline, track progress, manage team resource allocation, and now includes an AI Schedule Assistant, printing/export tools, and company-wide default settings.

1.1 Creating a New Schedule (From Scratch)

When you open a project's Schedule tab for the first time, you'll see an empty state with two options:

Option A: Create Schedule Clicking "Create Schedule" opens a workflow where you choose between two creation methods:

  • Create with AI — If the project has an existing Estimate, KonstructIQ's AI will automatically analyze the scope and generate schedule phases, tasks, and to-dos for you. This is the fastest way to get started. Note: An Estimate must exist on the project for this option to be active. The setup screen includes the Project Start Date, optional deadline/end date, Workday Settings, a "Publish schedule immediately" checkbox, and a new Custom Instructions (Optional) field where you can type specific requirements, constraints, or priorities for the AI to follow (for example, "Complete framing before the holidays" or "Prioritize exterior work during dry season"). Click Generate with AI to build the schedule. A progress screen walks through three stages — Analyzing Estimate, Generating Schedule Items, and Finalizing Your Schedule — and typically takes 1–2 minutes. When it finishes, you land on the Edit Schedule review page with the AI Schedule Assistant open (see Section 1.7).

  • Create Manually — Lets you build the schedule from scratch step by step. After selecting this option, you'll be presented with a setup form that includes:

    • Project Start Date (required) — defaults to today's date

    • Is there a deadline or end date? — an optional checkbox that reveals an End Date field when enabled

    • Workday Settings — defaults to Monday–Friday, 8 hours/day. Click "Edit" to open the full Workday Settings dialog (see Section 1.4)

    • Publish schedule immediately — checked by default; uncheck if you want to save the schedule in draft/inactive mode before sharing

Click Create in the top-right corner to generate the schedule and land on the main schedule view.

Option B: Copy from Existing Clicking "Copy from Existing" opens a dialog that lists all other projects in the account. You can filter by All, Approved, Sent, or Draft status. Select any project and click Confirm to copy its schedule structure into the current project.


1.2 Schedule Status: Live Mode vs. Inactive

Once a schedule exists, its status is shown in a badge next to the "Schedule" page title:

  • Live Mode — The schedule is active and published. Dates show in the subtitle (e.g., "Published on Aug 4, 2026").

  • Inactive — The schedule exists but is not yet published. Use Options > Deactivate to toggle it off, or Options > (re-activate) to go live.


1.3 Project Progress Banner

At the top of every schedule is a Project Progress banner that gives a quick high-level view. It can be collapsed or expanded using the arrow on the right:

  • Start date — the project's start date

  • Baseline End — the originally set baseline completion date (shown in orange when the date has passed or is at risk)

  • Expected End — the dynamically calculated current projected end date

  • % Complete — the overall schedule completion percentage (calculated from task progress)

  • Progress bar — a visual bar showing current progress versus the timeline

Below the dates, a legend explains the color-coding used across all views:

  • Completed (teal fill) — tasks that are 100% done

  • Critical Path (white/outlined) — tasks where any delay will push back the final project end date

  • Baseline End (vertical line marker) — marks the original baseline end date on the timeline

  • Variance — shows whether the project is "On Time," ahead, or behind schedule


1.4 Workday Settings

Accessible via Options > Workday Settings (or during schedule creation). This dialog lets you define the working calendar for this schedule:

  • Working Days — check any combination of Monday through Sunday (default: Mon–Fri)

  • Start Time — the daily work start time (default: 8:00 AM)

  • End Time — the daily work end time (default: 4:00 PM)

  • Hours Per Day — numeric field (default: 8)

  • Holidays — click "+ Holiday" to add specific dates that should be excluded from duration calculations

Workday Settings directly affect how task durations and end dates are calculated. For example, a 5-day task starting on a Thursday will end the following Wednesday if Saturday and Sunday are non-working days. New schedules inherit their starting values from your company defaults (see Section 1.12).


1.5 Baseline Settings

Accessible via Options > Baseline Settings. A baseline is a snapshot of the planned schedule used as a reference point for measuring progress and variance.

  • Schedule Start Date — the project's start date

  • Current Baseline — displays the currently saved baseline end date

  • Baseline Date — set a new baseline end date; saving this will overwrite the previous baseline

  • Note: Setting a new baseline will overwrite the existing one, so use this intentionally when re-planning

The Baseline End marker appears as a vertical line in the Gantt chart so you can visually compare planned vs. actual progress.


1.6 The Four Schedule Views

The schedule can be viewed in four different modes, selectable via the tab bar below the progress banner: Calendar, Gantt, List, and Resource.

Calendar View

The default view. Displays schedule items on a calendar. Navigation controls allow you to move forward/backward in time, and you can switch between sub-views:

  • Day — shows a single day's scheduled tasks

  • Week — shows the current week with tasks laid out across days

  • Month — the default; shows a full month grid with tasks visible on their start/end dates

  • Today button — jumps the calendar back to today's date

  • Agenda — shows a chronological list of upcoming tasks with their dates, useful for a day-by-day reading of what's happening

Gantt View

A classic Gantt chart with a split-pane layout:

  • Left pane — lists phases and schedule items with their Name, Start date, and End date. Phases are collapsible (click the arrow) and color-coded. Individual items appear as bullets under their parent phase.

  • Right pane — a horizontal bar chart timeline. Bars represent each task's duration, and dependency arrows connect predecessor and successor tasks. A "Project start" marker shows the project start date. You can scroll the timeline horizontally to navigate across the full project duration.

  • Highlight critical path — a toggle above the chart. When on, the tasks on the critical path (any delay to which pushes back the project end date) are visually emphasized.

  • Print — the Gantt view includes a Print button that opens the Print Schedule dialog (see Section 1.8).

List View

The most detailed tabular view. Columns include:

  • Phase / Item — phase headers (collapsible) with items nested beneath

  • Start Date — with a "+" icon to quickly add a predecessor dependency

  • End Date — with a warning icon if dates are at risk

  • Duration — calculated automatically in working days

  • Critical — indicates whether the item is on the critical path

  • Float — the number of days a task can slip without affecting the project end date

  • Assignees — avatar icons for assigned team members

  • Status — Not Started / In Progress / Complete / On Hold

  • Progress — percentage complete

A Search bar lets you find tasks by name, a Status filter dropdown filters the list to a specific status, and a Critical only toggle narrows the list to just the tasks on the critical path. An Actions menu (top-right) lets you Export CSV or Export Excel of the list. Clicking any item opens the Edit Item side panel (see Section 1.10).

Resource View

Shows a weekly calendar grid with each assigned team member or subcontractor as a row. For each person, you can see:

  • Their name and role (e.g., Staff, Subcontractor)

  • Each day's allocated hours (e.g., "8 hrs")

  • The task(s) they are assigned to for that day

  • Days with no assignment show "0 hrs." Use the arrow navigation at the top to move week by week.


1.7 The AI Schedule Assistant (Edit with AI)

The AI Schedule Assistant is a chat-based helper for building and managing your schedule in plain language. It opens automatically on the Edit Schedule review page right after an AI-generated schedule is created, and you can reopen it any time from an existing schedule by clicking the Edit with AI button (top-right, next to Options and Create).

The Assistant appears as a panel on the left, alongside the live schedule (Calendar / Gantt / List / Resource) on the right, so you can watch changes apply as you go. It can help you:

  • Check schedule health and overdue tasks — get a quick summary of status, dates, baseline, progress, task counts, working days, and holidays

  • Reschedule tasks and cascade delays — move a task and let dependent tasks shift automatically

  • See what's on the critical path

  • Update task statuses and add to-dos

Type any request into the "Ask me anything about your schedule…" box, or use the microphone icon for voice input, then send. As with any AI tool, a reminder is shown that the assistant can make mistakes — review changes before sharing. Use the collapse arrow to hide the panel, and click Save (top-right) to keep your changes.


1.8 Printing & Exporting the Schedule

Printing: From the Gantt view, click the Print button to open the Print Schedule dialog. The dialog lets you produce a clean, print-ready (or save-as-PDF) copy of the schedule using the following options:

  • Schedule rangeCurrent view (prints the view you're currently looking at) or Complete schedule

  • ItemsAll items or Visible only (respects any filters/collapsed phases currently applied)

  • PaginationMultiple pages (full size) or Fit to one page

  • Paper size — e.g., Letter

  • Orientation — Landscape or Portrait

Click Print in the dialog to send the schedule to your browser's print/save-as-PDF flow, or Cancel to close without printing.

Exporting the list: In the List view, use the Actions menu (top-right) to Export CSV or Export Excel — handy for sharing task data in a spreadsheet or importing it elsewhere.


1.9 Creating Phases and Schedule Items

Use the Create button (top-right) to add new content. The dropdown offers two options:

Create > Phase Phases are groupings that organize schedule items. The "Add Phase" form includes:

  • Name (required)

  • Description (rich text editor with formatting options)

  • Color — choose from a palette of colors; the selected color is used to distinguish the phase in the Gantt and List views

Create > Schedule Item Schedule items are the individual tasks within a phase. The "Add Schedule Item" form includes:

  • Name (required)

  • Description (rich text editor)

  • Phase — dropdown to assign the item to a parent phase

  • Start Date (required)

  • End Date (required)

  • All Day checkbox

  • Assignees — search for and assign team members or subcontractors

  • Status — Not Started (default), In Progress, Complete, On Hold

  • Progress — a slider from 0–100%

  • To-Dos — you can link existing To-Do tasks directly to this schedule item, or add new ones inline. Click "Add" to attach a to-do.

  • Dependencies — link other schedule items as predecessors. Click "Add" to set up finish-to-start dependencies.


1.10 Editing Schedule Items

Click any item in the List or Gantt view to open the Edit Item side panel on the right. All fields from the creation form are editable here. The panel also shows any linked To-Dos (with their individual status badges) and Dependencies. A three-dot menu (⋯) at the top of the panel provides additional options such as Delete. The X button closes the panel.


1.11 Additional Options Menu

Click Options (top-right) to access schedule-level settings:

  • Deactivate — puts the schedule into inactive/draft mode

  • Workday Settings — configure working days, hours, and holidays

  • Baseline Settings — set or update the schedule baseline

  • Delete Schedule — permanently removes the schedule (use with caution)


1.12 Company Schedule Settings (Defaults)

You can set company-wide schedule defaults that new project schedules inherit. Go to Settings (the gear icon in the top navigation) > Schedule. This page has two sections:

  • Workday — set your default Working Days (checkboxes for Monday–Sunday), Start Time, End Time, and Hours Per Day. These values pre-fill the Workday Settings whenever a new schedule is created.

  • Federal Holidays — check the U.S. federal holidays your company observes (New Year's Day, MLK Day, Presidents' Day, Memorial Day, Juneteenth, Independence Day, Labor Day, Columbus Day, Veterans Day, Thanksgiving Day, Christmas Day). Checked holidays are excluded from schedule duration calculations by default.

  • Custom Holidays — click + Holiday to add company-specific dates (e.g., a company shutdown week) that should also be treated as non-working days.

Changing these defaults affects newly created schedules; existing schedules keep the Workday Settings and holidays saved on them (which you can still adjust per schedule via Options > Workday Settings).


To-Dos

The To-Dos section is found in the left-hand project navigation and houses two types of action items: Tasks and Punch Lists. Both are tracked in the same interface with a tab switcher at the top.

2.1 Navigating To-Dos

The To-Dos page has two tabs:

  • Tasks — general action items tied to schedule phases/items

  • Punch Lists — deficiency or completion items typically associated with final walkthroughs

Both tabs share the same layout: a Search bar, a Status filter dropdown (All / Not Started / In Progress / Complete / On Hold), and a table with the following columns:

  • Title — the task name (truncated if long)

  • Status — color-coded badge (e.g., "Not Started")

  • Due Date — optional target completion date

  • Priority — displayed as a colored badge (e.g., "Medium" in orange)

  • Assignees — avatar icons for assigned people

  • Schedule — shows the linked schedule item name (if connected)


2.2 Creating To-Dos

Click the Create button (top-right) and choose:

  • Task — creates a new action item under the Tasks tab

  • Punch List — creates a new item under the Punch Lists tab

You can also add To-Dos from directly within a Schedule Item's edit panel using the To-Dos section's "Add" button.

Additionally, the Punch Lists tab has a quick-add row at the bottom of the list for fast entry.


2.3 Task Fields

When you click on any task to edit it (or use Create > Task), the Edit Task side panel opens on the right with the following fields:

  • Title (required)

  • Status — dropdown: Not Started (default), In Progress, Complete, On Hold

  • Due Date — optional calendar date picker

  • Priority — dropdown: Low, Medium (default), High, Critical

  • Assignees — search and assign one or more team members

  • Description — rich text editor for notes, instructions, or context

  • Location — free-text field (e.g., "2nd floor, Unit B")

  • Est. Hours — estimated hours to complete

  • Actual Hours — hours actually spent

  • Requires Attachment — toggle; when enabled, the task cannot be marked complete without a file attachment being submitted


2.4 Punch List Fields

Punch List items have all the same fields as Tasks, plus additional fields specific to punch lists:

  • Room — free-text field for the specific room or area (e.g., "Kitchen, Master Bath")

  • Reported Date — the date the deficiency was reported

  • Requires Photo — toggle; when enabled, a photo must be attached to complete the item


2.5 Linking To-Dos to the Schedule

To-Do items can be linked to specific schedule items in two ways:

  1. From the Schedule Item — open any schedule item's Edit panel, scroll to the To-Dos section, and click "Add" to attach or create a to-do. The linked to-do will then show the schedule item name in its "Schedule" column.

  2. From the Schedule Creation Form — when adding a new Schedule Item, the To-Dos section is available in the same form.

This linkage means that when a to-do is completed, it rolls up to the associated schedule item and can influence overall progress tracking.


Quick Reference and Guide

Starting a schedule on a new project: Navigate to the project → Schedule → click "Create Schedule" → choose "Create with AI" (if an estimate exists) or "Create Manually" → set start date, optional end date, workday settings, and (for AI) any custom instructions → click "Create" / "Generate with AI."

Using the AI Assistant: Open a schedule → click "Edit with AI" → type or speak a request (e.g., "Push the drywall task two days and cascade the delay") → review the changes → click "Save."

Adding a phase: Schedule page → Create → Phase → enter name, description, color → click "Add."

Adding a task to a phase: Schedule page → Create → Schedule Item → enter name, select phase from dropdown, set start and end dates, assign team members, set status → click "Add."

Setting a baseline: Schedule page → Options → Baseline Settings → confirm or update the baseline date → click "Save."

Marking a task in progress: List view → click the task → Edit Item panel → change Status to "In Progress" and adjust the Progress slider → close panel (auto-saves).

Printing the schedule: Gantt view → Print → choose range, items, pagination, paper size, and orientation → Print.

Exporting the task list: List view → Actions → Export CSV or Export Excel.

Setting company schedule defaults: Settings (gear icon) → Schedule → set default Workday hours and Federal/Custom Holidays.

Creating a punch list item: To-Dos → Punch Lists tab → Create → Punch List → enter title, status, due date, priority, assignees, location, room, reported date, toggle photo/attachment requirements → Save.

Filtering to-dos by status: To-Dos page → Status dropdown → select the desired status (e.g., "Not Started").
